This page allows administrators to search for a specific set of shops to edit, view or review



Select a Survey
The shop logs display all the shops for the survey selected. To view shop logs for a specific survey, select the survey name. Choosing a survey is the only requirement to view the shop logs. All the other choices listed below are optional. If no other options are selected all shop logs for that survey will be displayed.

NOTE: If you've previously selected a survey on the Main Administration page that survey will still be selected.

ID #
The Shop ID is a randomly generated ID number created by the System. To search by the Shop ID number, enter the number in the ID # Search field.

Date
Select the date range for the shops that you want to view. Due date and shopped date will always be displayed in the results. To display a date for surveys other than those dates, choose a date option from the Display drop down list.

Location
Enter a location ID or name to view shops for only that location(s).

Shopper
To view shops that have been submitted by a particular shopper, enter the shoppers last name or a partial last name.

Status
The status option allows you to sort the shops by status or select to view one status only.

The default status options are: Created, New, Incomplete, Completed, Collaboration Shop, Excluded, Hold A, Hold B, Reviewed, Finalized, Emailed, Client Finalized, Locked. (refer to the topic below for more detailed explanation of each status.)

GO
 After you have selected the options you prefer, click GO to search for shops that match the criteria you've entered.  The results will display in columns below the search criteria

Sorting  
The results can be re-sorted by any of the underlined titles: Due Date, Shopped Date, Report Date, ID - Location, Shopper, Status [up][down]. The third date title, such as Submit in the example below, will depend on the date type that is selected by the user. In addition, the up/down option for status allows the user to sort the list by status; up sorts the status from Created to Locked, down sorts the status column from Locked to Created.


In the results you have 4 options displayed under the Go button: Review, Edit, View and Events.

Review 
The Review option opens the survey in a new window that allows a reviewer to edit and modify the survey submissions and change the status of the survey, set a shopper rating and send emails to shoppers with questions or comments on the survey.


Edit 
The Edit option opens the shop settings for that survey in a new window. This allows a reviewer or scheduler to modify the assigned shopper, shop dates or expense information for that shop.


Events

The Events option opens a table that shows all the events related to the shop such as assignment and shopper submission.


View  
The View option opens the survey in a new window and displays the survey as the client will see the survey.


The following is an example of how the results will display.




Date Types

Due Date

The due date is the date by which the shopper must do the shop by. This is the deadline date for the shopper to have performed the shop.


Shop Start Date

The shop start date is the date on and after which the shopper can do the shop. The shop cannot be done before this date.


Submit Due Date 

The submit due date is the date by which the shopper must submit the fully completed survey for the shop done.


Shop Date

The shop date is the date when the shopper went and actually did the shop.


Submit Date

The submit date is the date the shopper first opened their shop and clicked Submit button. So this is the very frist time the shopper submitted their shop.


Report Date

The report date is the date used when reporting the end results to the client. This date determines in what reporting period the particular shop should fall into and be counted in.




Shop Statuses

Created  - This is a shop that has been created using the Manual Scheduler but has not been assigned to a shopper yet. This status will not be displayed to clients in the Client Shop Logs.

Open  - This is a shop that has been created in the System using the Auto Scheduler but has not been assigned to a shopper yet. This status will not be displayed to clients in the Client Shop Logs.

New - A shop that has been created and assigned to a shopper but the shopper has not entered any data for the shop. This status will not be displayed to clients in the Client Shop Logs.

Incomplete  - The shopper has entered data into the shop but has not completed all required questions on the survey. This status will not be displayed to clients in the Client Shop Logs.

Completed - The shopper has completed the shop by answering all the required questions but the shop has not been reviewed.


Collaboration Shop - This status appears when a shop has been imported from the Secondary MSP in a collaboration project. 

Excluded - This status is designed to be used for shops that need to be excluded from the client reports but should not be deleted so that this way they can be kept for accounting purposes.

Hold A/Hold B - These are two 'holding bins' that may be used for various reasons. Please check with your manager/supervisor to learn if these hold options are at use within your company. The hold status will not display to clients in the Client Shop Logs.

Reviewed - The shop has been reviewed but not finalized. Clients do have access to see these records in the logs but are not yet able to view the shop results.

Finalized - The shop has been finalized and released for your clients to view the results.

Emailed - This status indicates that at some point after the shop has been finalized a link was emailed to someone using the Email Report in the top of the Client Shop View page or using the Report Distribution/Email Web Links page.

Client Finalized - Some companies have requested the option to perform an internal review prior to releasing the shop results to all managers. If you are using this feature, the log will display shops with status of Client Finalized for those that have had the internal review completed.

Locked - Scores may be changed after some surveys have been already submitted. If the survey and scoring is changed but the client does not wish that the existing reports change their scoring, the Locked status will prevent the scoring from being updated.


Client Shop View


You also have the ability to view the Client Shop View from this shop log.


Email Report- The email report section of the Client Shop View allows you to email a link to a single recipient, even if that person does not have an account. The link generated in the email has access information for that one shop, and will only allow the recipient to view that single page. To email the report, enter the recipients full email address in the To field, the email address you would like for the return address on the email in the From field, and any comments you would like sent along with the link to the shop in the Comment field.


The Close, Print Version, and PDF Buttons-

Close - closed the shop view page

Print Version - gives a page with the client shop view that excludes the section for emailing the report at the top.

PDF - The PDF button generates a PDF version of that single shop. 



Client Form Header





Location Information - Location information is found to the left on the Client Form Header, it gives the Name, Address, and Level/Manager information for that Location.

Overall, Major Section, and Minor Section Scoring - This scoring is found to the right of Client Form Header and gives the Overall percentage score and actual/possible points in bold at the top, as well as the Major Section and Minor Section scores separated by a blank line. Major Section scores are those counted in reporting, Minor Sections scores are only counted on the Shop View.

Location Average - Gives the Year to Date average for the current location on the survey that was completed for this shop. Does not give the overall average for all Surveys on the Client.

Survey Average - Gives the Year to Date average for all shops done in the Client Company on that particular survey.
